case study for charity amex’s run NAME: Amex City to Surf TYPE: Corporate Family Day CLIENT: American Express NO. ON ORGANISING TEAM: three staff from American Express Events PAX: More than 500 BUDGET: (We donated $2300 to the Smith Family through our participation). WHAT YOU DID: Set up marquees on Bondi Beach for our staff, family and friends to meet after the City to Surf where we provided refreshments and a BBQ lunch for everyone to enjoy. We had special Amex wristbands made so we could monitor attendance on the day. A photographer was on hand to take some great shots of what was a very social day out. SPECIAL TOUCHES: Masseuses were on hand to relieve the aches and pains after the race and were available even for those who did not participate in the race but just wanted some pampering. CHALLENGES:We put in our application at the start of June for the marquees but once they were confirmed we only had just over a month to organise food and beverage, take registrations for attendance in the marquees and organise shirts and wrist bands for the race. We also had attendance from two different office locations and some employees registered large groups of participants so we had to ensure we were organised for these shirt/wristband pickups the week before the race. OVERCOMING CHALLENGES: Communication was paramount. We had to ensure all employees were kept up-to-date with processes and had planned communications on the lead up to the event. Everyone was very excited about the day and we wanted to keep up the momentum. CLIENT’S COMMENT: “It was a well organised and well thought out event. I really enjoyed being able to relax after the race with my friends and colleagues.
