We found them to be highly professional, a pleasure to deal with and highly experienced in delivering large-scale theatre- based shows.” - Chris Ford, event & operations director,L’Oréal Paris 2008 AFI Awards. • 2100 tickets were printed in preparation for the event, all supporting the L’Oréal Paris 2008 AFI Awards “Pride and Passion” logo • Tight restrictions and procedures were in place for the 23 security that were allocated each night • The only way to access the Forum Theatre for the exclusive after party was to receive an invisible stamp on entry to the Princess Theatre for the awards ceremony which would then show up under ultra violet lighting at the Forum later that evening. Special touches • The theme of pride and passion was conveyed throughout both venues using projections on stage, a sleek central bar on the stage of the Forum with the word “Passion” on the front to match the beautiful steel alternating “Pride” and “Passion” centerpieces with candles projecting soft lighting from each of the 24 Forum Theatre signature cabaret booths. • The 98 square metre star curtain, with more than 1000 stars lighting up the stage • The 15 x 12 metre dance floor • Gourmet seafood station including 4200 fresh oysters, and 5000 prawns • A team of 25 chefs dedicated to the event 70 mice.net Challenges • Servicing 1400 guests for drinks during a short 10-minute interval • Servicing 1400 guests arriving all at once at the after party venue • Co-ordinating more than 30 deliveries across two different venues • Storage of all sponsor stock Overcoming challenges • Drinks were continuously topped up during the awards ceremony within the auditorium and trayed drinks were available throughout to avoid a rush on the bar during interval • Additional wait staff were added to the team for the Official After Party in order for there to be adequate service and clearing • Wait staff were divided into teams with designated service and clearing areas with all team leaders communicating to each other via radio • The Venue Managers re-arranged stock deliveries to occur post- event to allow for ample storage for sponsor stock • Additional radios were hired to ensure clear communication between departments on the night which enabled quick response to changes or requests on the night
