GPJ energised IBM delegates. 84 mice.net 84 mice.net IBM’s Australia, New Zealand and ASEAN (South-East Asian Nations) hardware and software teams have in recent years attended their educational and motivational “university” events with business partners in Las Vegas and San Diego, USA. In 2007, 1300 delegates were informed it would be hosted in Melbourne and it was GPJ’s challenge to make them feel motivated, rewarded and be a part of inspiring educational sessions. GPJ’s brief was to plan and deliver a five-day matrix of motivational and educational sessions – 223 plenary and break-out sessions with 160 speakers for 1300 delegates. This included cocktail functions, breakfast meetings, offsite dinners and a gala party. The underlying objective was to overcome any delegate perceptions of diminished incentives now that the event was closer to home. With 1300 delegates unable to fit in a single venue, four hotels in Melbourne were required with the core event held across two hotels over the three main days. GPJ organised all invitations, online registrations with tailored session registration diaries, information- capture and content development, travel and accommodation back-end data management, in-event communications, and delegate-tracking. The team also managed all banqueting, audio- visual, staging, theming and talent. The event was spread over 23 function spaces in two hotels as well as two off-site venues. GPJ created an energised theme, “Kickstart 07”, drawing on the myriad of ways of kick- starting your day, your life and your career and embodying them in creative executions. Intensive and thorough pre-production ensured that the massive complexity of delegates, logistics and content was dealt with before the event to ensure it all ran seamlessly. The “Kickstart 07” branding was strong and was seen throughout the animated messaging, onsite physical and plasma signage, t-shirts and presentations.
